Prepared in terms of Section 51 of the Promotion of Access to Information Act 2 of 2000 (“PAIA”).
Last updated: 12 September 2026.
1. Introduction
This manual is published by Edukinetics Practise (Pty) Ltd, trading as Edukinetics (“Edukinetics”, “we”, “us”), in accordance with Section 51 of PAIA. Its purpose is to help members of the public understand what kinds of records we hold, and how to request access to a record under PAIA if it is not already publicly available.
PAIA gives effect to the constitutional right of access to information held by the State and by private bodies, where that information is required for the exercise or protection of any right. Edukinetics is a “private body” as defined in PAIA.

6. How to request access to a record
If you want access to a record that is not already publicly available (see section 4), you may submit a request using our PAIA Access-to-Information Request Form, available on our website, or the Information Regulator's prescribed Form 2.
6.1 Requesting your own or your child's personal information
If you are asking for personal information about yourself, or about your child (where you are their parent or legal guardian), you may make that request informally, using our online Personal Data Request tool or by emailing hello@edukinetics.com, under section 23 of POPIA, which generally does not require the formal PAIA process or the standard PAIA request fee. We will confirm what information we hold and provide it to you within a reasonable time, ordinarily within 30 days.
6.2 Formal PAIA requests
For any other record, or if you prefer to use the formal statutory process, please submit a completed PAIA Access-to-Information Request Form to hello@edukinetics.com, or by post or in person to 3 Protea Road, Protea Heights, Brackenfell, Western Cape, South Africa, addressed to the Information Officer. Your request should describe the record you want in enough detail to allow us to locate it, and specify the form of access you prefer (for example, a copy, or an opportunity to view the record).
We will respond within 30 days of receiving a valid request, as required by PAIA. This period may be extended by a further 30 days in limited circumstances recognised by PAIA (for example, where the request is for a large number of records, or requires consultation with a third party). If we extend the period, we will notify you in writing and explain why.
7. Fees
PAIA allows a private body to charge the fees prescribed in the PAIA Regulations. As at the date of this manual, the prescribed fees are approximately:
| Fee | Amount |
|---|---|
| Standard request fee (per request, for non-personal records) | R140.00 |
| Photocopy or printed A4 page | R2.00 per page |
| Copy on a flash drive or CD you supply | R40.00 |
| Copy on a CD we supply | R60.00 |
| Search and preparation time (after the first hour) | R145.00 per hour, capped at R435.00 per request |
| Deposit (where search time exceeds 6 hours) | One-third of the estimated total fee, payable in advance |
These amounts are prescribed by the Minister of Justice and Correctional Services from time to time and may change. Please confirm the current schedule at inforegulator.org.za or with the Department of Justice before relying on it. No request fee is generally payable where the request is for a requester's own personal information (see section 6.1).
8. Grounds on which we may refuse a request
PAIA requires us to refuse access to a record in certain circumstances, and permits us to refuse in others, including where disclosure would:
- Unreasonably disclose personal information about a third party (including another child or family), under section 63;
- Disclose confidential or commercially sensitive information belonging to a third party, under section 64;
- Endanger the safety of an individual or property, under section 65;
- Breach legal professional privilege, under section 67; or
- Relate to a record that is not required to enable the requester to exercise or protect a right, where the request is by a third party seeking someone else's personal information.
Where only part of a record is subject to a ground for refusal, we will, where reasonably practicable, provide you with the rest of the record.
9. If you are unhappy with our decision
Unlike requests made to public bodies, PAIA does not provide for an internal appeal against a private body's decision. If you are dissatisfied with our response, or if we do not respond within the required period, you may:
- Lodge a complaint with the Information Regulator; or
- Apply directly to a competent court for appropriate relief, as provided for in PAIA.
10. The Information Regulator
The Information Regulator is the independent body responsible for regulating PAIA and POPIA compliance in South Africa.
